4)

Upon a resignation or hiring of a new position within the clerical positions, attempt
to gain an employee for minutes at that time.

5)

Change minute assignments so that, for instance, the persons responsible for Park
and Planning minutes exchange Commissions.

6)

Share the task of minutes with this and perhaps other Commissions with more than
one person so that instead of a comment for 12 evenings per year, this
commitment drops to six.

7) Direct that the technical staff for the Park Commission take the minutes.

Recommendation:

Staff's recommendation is to attempt to find one or more volunteers for the role of minutes
within the organization. If this occurs, then I would attempt to rotate these people through
various Commission assignments to the extent that the existing minute takers are interested
in such. If volunteers are not available, I would suggest that no change occur until an
opportunity for additional clerical assistance provides the option of making a change at that
time.

By the meeting date, we may have an indication of whether volunteers are available.

Committee Action:

Based upon discussion.

Reviewed by:

City Administrator
Finance Officer
Administrative Services Manager

Personnel: 01/09/96
/jmt

Copies also distributed to:

Linda Mayer
Linda Aaseby
Dan Bray
Joanne Kusler
Jackie Lizakowski
Colleen Rybak
Kathy Schmitz
Arlene Stafford
Jo Thieling
Police Chief
Parks/Utilities Supervisor

I
I
I
I
I
I
I

I
I
I
I
I
I

I
I
I
I
I
