And a plan for bad weather. <br />Create a to do list and break up assignments among organizers <br />and volunteers. <br />Create a schedule for the event. <br />Devise a way to attract participants. This may be rewards, <br />association with a cause, contests, or a tandem social event. <br />COMPILE A LIST OF SUPPLIES <br />Once the list is made, purchase, request donations, or <br />borrow what you need. <br />Registration supplies: Sign -in sheets, pens, clipboards, a table, <br />nametags, informational brochures. <br />First aid kits, sunscreen, bug spray <br />Drinks: water, sports drinks, ice, coolers. Possibly soda, juice <br />and cups. <br />Food: fresh fruit, trail mix, protein bars. Possibly non-perishable <br />sandwiches or meals. <br />Garbage/recycle bags <br />Van and trailers; ways to transport people, bicycles and <br />supplies <br />Toilets <br />Waiver <br />Consider how bicyclists can get gear at the last minute, such as <br />helmets, sunglasses or gloves. Either bring a few back ups, or <br />know the nearest place to purchase equipment. <br />PROMOTE THE EVENT <br />Hang posters or hand out brochures <br />Make announcements through various media: webpages, radio, <br />newspapers, eblasts, bike shops <br />Use social media.
