Background: <br /> <br /> FINANCE OFFICE VACANT POSITION <br />By: Sandra Ashley Helling, Finance Officer <br /> <br />Case #3 <br /> <br />When the e'npl6, yee filling the Accounting Technician resigned effective June 23, 1992, <br />it was mY reCOmmendation the position stand vacant until a staffing review/needs <br />assessment, be Ir~ade in the Finance Office. Inherently a part of this recommendation <br />was my be~ef~art-time temporary help could be brought in as needed to assure we <br />did not fall': b.e.~ind in our day-to-day work. This belief was based on past practice <br />wherein th~' Ciiy Administrator approved requests for temporary assistance provided <br />the department ~r cost center had sufficient dollars in their current budget. As the City <br />would not,be ,~incurring salary and associated costs for the regular position of <br />Acc. ounting ~?ec~nician, the Finance Office's budget has sufficient funding for temporary <br />assistance. <br /> <br />Since that time,~ staff has recommended that the vacant full-time regular position be <br />reduced to .~alf-!ime or twenty hours per week - on average in the Finance Office and <br />that 50% ofi'this'_ position be allocated to Administrative Services. Further, in the opinion <br />of staff, th~ duties of this position would be more in keeping with a salary grade '7 <br />rather than e '.8 currently assigned. The duties will be: <br /> h i Hours/Week <br /> On Average <br /> Financ~x : <br /> <br />Input ~f CAsh receipts to financial system, budget information <br /> ih E~cel, information for annual financial report and <br /> ¢3hfi~its m Excel, changes to the fixed asset system, <br /> l~lus ,rperiodic reporting requirements <br />Locate~ dUl~licate and recap entry documents for' capital <br /> i~nprd~vement funds, special revenue funds (primarily <br /> grant~) and other funds as needed <br />Filing, ~:.typi~g of escrow statements and back-up for special <br />assessr~ent searches <br /> : Sub-total Finance <br /> <br />Aclmm~strat~v¢ Services: <br />Input c~ang~es, copy and maintain City Code, Policies Manual <br />and Re, otto!ion, Ordinance and Minutes books <br />Back-up folr receptionist/cashier <br />Page Maker word processing applications <br /> <br />Process[ animal licenses and input to data base <br /> <br />Maintaip City scrapbook <br />Assist ~ith, secretarial functions <br /> Total for position <br /> <br />10 hours <br /> <br />5 hours <br /> <br />5 hours <br /> <br />20 hours <br /> <br /> 3 hours <br /> 5 hours <br /> 5 hours <br /> 1 hour <br /> 1 hour <br /> <br /> 5 hours <br />40 hours <br /> <br /> <br />
